GTD can help integrate your professional and personal life.

This post on planning a baby shower is from the Art department at the David Allen Company.

Here’s a great reminder of how helpful GTD is for any project, personal or professional.

Our team at the David Allen Company is planning a baby shower for a co-worker. We met today to do the following:

Brainstorm and mind map the project

Decide on next actions

Assign people to the identified next actions

Decide when to loop around again for further planning

Here was our simple mind map that helped clarify the tasks:

Our 20-minute meeting allowed everyone to move forward on this fun project with their own clearly-defined tasks.

GTD can help integrate your professional and personal life. Simple, easy, and fun planning — that’s a “GTD” baby shower!

The Managing Projects & Priorities seminar is a wonderful opportunity to take GTD to the next level in your professional and personal life. Upcoming seminars in 2011 will be held in Boston, Chicago, and Dallas.

You will learn:
• The power of creative brainstorming
• How to define your priorities through the Horizons of Focus® Model
• The advantages of using the Natural Planning Model®
• How to effectively develop and move your projects to the next level

This is how David Allen Company staff member Kari McGee described her experience with Managing Projects & Priorities:

Sometimes a vision seems to be all we have, but it doesn’t have to be. That’s the lesson I walked away with after attending the David Allen Managing Projects and Priorities seminar. I realized that the projects piece of GTD is where the magic really happens. To be able to work through clear purpose and not just be prepared for the latest and loudest is really where the bigger dreams start to take shape on the GTD Journey.

Like any GTD enthusiast, I thought I had the world conquered once I realized how I could manage all of my tasks through lists and contexts. The Mastering Workflow seminar cemented this learning further into place and pretty soon I was explaining this approach to relatives and friends. After a few months I was scanning my projects and actions during my Weekly Review. I started to become haunted by a small, creeping suspicion that I just couldn’t shake: my projects list looked much too small in relation to the responsibilities my life called for. I called my GTD Coach and asked her how many projects I should have on my list, and as I suspected, I needed to enter the next phase of my practice.

When I was offered an opportunity to attend the Managing Projects and Priorities seminar, it was exactly what the doctor ordered. As I spoke to other people attending, I realized that many people were having the same experience of, “I don’t quite get the project piece.” Halfway through the workshop I realized that the reason I had struggled with projects was because I had been ignoring one of the most integral pieces of project planning—the Natural Planning Model.

The Natural Planning Model connects the purpose of why we are investing in a larger goal, and the actions to reach that goal. After all, what is action without purpose? The presenter went through this model in careful stages to really explore the different steps of clarifying, brainstorming, organizing and implementing (taking action). By the end of the workshop, no project seemed too large or out of reach. In fact, I started of thinking of all the projects that were sitting on my Someday Maybe list and I couldn’t wait to get started.

The Managing Projects and Priorities seminar really aided me in rounding out my whole GTD system. The workshop offered an interactive breakdown of my Horizons of Focus. I was instructed on how to use projects as a way to achieve the goals that add purpose and value to my life. I realized that every domain of my life needed a project; my health, my work, my finances, my relationships. Having the instruction to be able to implement that kind of structure into my everyday reality has proven to be invaluable.

At the most basic level, the reason we organize is to accomplish projects, whether that be creating a new website or buying a new toilet seat. Whatever level of responsibility the project requires, we still need to be aware of the reasons driving us to create the path to achieve it. Maybe buying a new toilet seat will make your spouse happy for a week, and maybe creating a new website will help you reach an even higher vision of professional autonomy and financial success. In this seminar, the objectives of the individuals were that different, but they were all equally addressed. I know that my projects were clarified on a level that really catapulted me into a greater place of motivation. Now I fearlessly add on more every week, knowing that my intentions will quickly blossom into real results.

Kari McGee is an enthusiastic team member at David Allen Company. She works on the administrative team for our GTD Connect program and GTD Interactive course. We hope you enjoy her story!

If you use Lotus Notes, eProductivity is well worth a look. It’s the only app for IBM Lotus software to receive the GTD Enabled designation.

An obvious but rarely noticed tool may be my key to ultimate productivity.

“What tools should I use for GTD?” That question usually comes up early when someone begins implementing GTD. And in our tech-focused world, they usually mean, “Which software is the best?” But it’s also important to ask which tools will help us stay physically motivated.

An obvious but rarely noticed tool may be my key to ultimate productivity.

At David Allen Company, we consider many things when setting up a workspace. I recently reconstructed my workspace in a way that has stepped up my energy and focus to a whole new level. I made this improvement by switching to a stand-up desk. This is an amazing tool that has helped me to be more productive and ergonomically correct; a win for my company and for me.

The benefits of a stand up desk have really surprised me.

I didn’t realize that the reason it felt so hard to sit at my desk during the day was because I am naturally inclined to move a lot. I have energy coursing through my body every minute of the day and found it increasingly difficult to stay focused for a long amount of time without getting up to move. I was blaming my lack of focus on a need for social interaction, because I’d get up to mingle or grab a cup of tea. But it was actually something much simpler.

Many people are comfortable when they are sedentary, or prefer a comfortable chair while working. However, we can’t assume that this works for everyone. It took someone else in our office – OK, the someone is my sister – requesting a stand up desk, on a suggestion from her GTD coach, for me to see the light on this issue. When I saw her working on her feet I realized that she was embodying a free physical space, which allowed her to move easily from her inbox, to her files, to her shelves and back to her computer. When I started using a stand-up desk, not only did it inspire a more efficient movement in workflow, but it was a huge relief to know that there was a way for me to feel energized while doing my work, and not locked into one position all day.

Since I have gotten my stand-up desk, I have noticed the following benefits:
• I am much more inclined to work through a solid block of time without needing an interruption for my energy to explode.
• When I do need to sit, I can do so in smaller increments and stretch my legs out which eliminates the need for me to interrupt my work to stretch or take walks (although I still love taking walks on my break).
• I no longer feel the tightness in my legs when I walk out of the office at the end of the day, nor do I dread sitting down again for my commute home.
• I feel the release of a “constricted” mindset, which inspires creativity and freedom in my work.
• I have quicker access to my surrounding workspace.

For those of you who have become fans of yoga, Pilates or stretch classes on your lunch breaks, please consider that movement can exist throughout your entire day. And for those who don’t participate in those classes, it might make sense for you to take a look at how you can keep your energy fluid and vibrant. Do not be discouraged if you work in an office that has not offered this option; you might be surprised at the reaction you get when you explain what effects it might have on your efficiency. Remember that your mind is constantly processing data, but your body is also taking in a constant flow of information and energy. Make sure you are taking care of both.

Kari McGee is an enthusiastic team member at David Allen Company. She works on the administrative team for our GTD Essentials program and GTD Interactive course. We hope you enjoy her story!

The two questions that bring clarity to most anything on this level are: What's the successful outcome? And, what's the next action to make it happen?

David Allen’s essay in the new Productive Living is about two key questions that make a big and positive difference for us.

DAVID’S FOOD FOR THOUGHT

The two questions that bring clarity to most anything on this level are: What’s the successful outcome? And, what’s the next action to make it happen? These provide fundamental clarity for Getting Things Done, and they lie at the core of most everything I teach.

With the start of the New Year, this would be a great time to take the GTD-Q assessment. This free online assessment measures what Getting Things Done gives you: better control and greater perspective. It’s not one of those one-time tests that will never change (which will be good news for those of you who land as a Crazy Maker!). You are encouraged to take it often to see how it changes for you as you work with your strengths and challenges. If you want your results tracked over time, there is another version on GTD Connect.

We receive many questions about the electronic and international versions of David Allen’s books (Getting Things Done, Ready For Anything, and Making It All Work.) We’ve compiled some FAQs on the topic that should be be helpful. We will update this post as the information changes and add these to our website FAQs as well.

What formats are available for David Allen’s books, like Getting Things Done?
Formats for David Allen’s books are established entirely by his publisher, Penguin Group, and through the agreements Penguin makes with each foreign publisher. We are so sorry, but we have no influence over distribution and we are not involved in the process of determining where the books are released. We do know that availability varies widely by country and distributors. For example, in the U.S., you will find paperback, hardcover, Kindle, ePub and audiobook versions. This is not the case at all for other countries and download versions in particular are restricted by territory (e.g. someone outside the U.S. cannot download a book from the U.S. Audible.com site.)

Why is the download version more expensive than the paperback version?
We’ve noticed that too! Unfortunately, pricing for David’s books is out of our control and is entirely set by the publisher, Penguin Group, with the distribution channels where they have released the book.

Can I buy David’s books as a PDF?
No, PDF is not a format that has been created by Penguin Group, the publisher of David Allen’s books. Downloadable options include ePub (very common and compatible with iBook for iPhone, iTouch and iPad users,) Kindle (for the Amazon Kindle devices and readers) and Audiobook (spoken versions, as read by David Allen).

Where do I download Kindle versions?
The Kindle versions of David Allen’s books are available from Amazon.com. A search for the books will show you the paperback, hardcover and Kindle versions if available in your country.

Where do I download the version of Getting Things Done for iPhone, iTouch, or iPad?
The “ePub” version is compatible with the iPhone, iTouch and iPad devices. You can purchase and download this version through the iBookstore in iTunes, if available in your country.

How come the Getting Things Done book isn’t available for download in my country?
Distribution rights for David Allen’s books are established entirely by his publisher, Penguin, with each foreign publisher. We are so sorry, but we have no influence over distribution and are not involved in the process of determining where the books are released. We do know that availability varies widely by country and distributors. For example, in the U.S., you will find paperback, hardcover, Kindle, eBook and Audible.com versions. This is not the case at all for other countries and download versions in particular are restricted by territory (e.g. someone outside the U.S. cannot download a book from the U.S. Audible.com site.)

How is the Audiobook different than the iBook or ePub version?
The audiobook versions of Getting Things Done (abridged and unabridged) are spoken versions of the book. You will hear David Allen literally reading the book. The iBook versions in the “ePub” format are for you to read–there is no audio component. ePub simply means electronic version. Audiobook is spoken version.

How do I contact David’s publisher to share my feedback or request to have Getting Things Done available in my country or in other formats?
You can reach the Penguin Group through their website. You will find many helpful links on this page. If you want to reach our team, to ask a question, please contact customerservice@davidco.com.

The international translation of Getting Things Done has errors. Who needs to know about that?

We appreciate when customers let us know about errors in the international versions of Getting Things Done. We are not involved in the translation of David’s books, but we will pass along the feedback to his publisher, Penguin Group, who handles the translation process. You can also give Penguin Group the feedback directly through their website.

What’s the difference between the abridged and unabridged audiobook versions of Getting Things Done?
Unabridged means you will hear the entire book, just like the printed version. Abridged means you will only hear a condensed version of the book (not all chapters are included.) The most comprehensive version, by far, is the unabridged version, as it covers all of the GTD content. The abridged version is more like the “Cliff Notes” summary of the key concepts and does not go into detail on the implementation phase.

The iBook format of Getting Things Done has poor formatting. Who needs to know about that?
We have been told by some customers that the iBook version is not formatted very well and we have passed along this feedback to the Penguin Group.
You can also give Penguin Group the feedback directly through their website or to Apple, their distribution partner for the iBook version.

How do I know if there is a version of Getting Things Done in my language?
We keep an updated list of foreign language editions of Getting Things Done on our website, as we are made aware of them by the publisher Penguin Group.

I had a problem downloading the book. Where do I go for help?
Please ask for assistance with downloading issues from the store where you purchased the download. Unfortunately, we are only able to assist you with the versions available through our online store (hardcover, paperback, and audiobook.)

We hope this helps!

The first customer review of the new GTD Managing Projects audio set has come in and we wanted to share some highlights:

In a nutshell, I am very excited to report this audio program is EXCELLENT!

Imagine sitting in the room with David, Marian and Meg and, basically, they are discussing all of the best practices and experiences around projects, projects planning, organizing, etc. It gives you the feeling that you have 3 personal coaches for a few hours. Many examples are discussed in great detail–big projects, smaller projects–to make it easy to understand the very fine points of how “successful outcome” project planning works in real life.

There are great tips here on how to make sure you really have ALL of your projects on the list AND how to keep that list at a manageable level. Linking projects to next actions and/or areas of focus (which Meg taught me during a telecoaching session) is also discussed.

Subprojects–should I or shouldn’t I have them? Lots of good discussion around that.

If you manage others and delegate projects, some terrific tips for you!

Recommendations: If you are relatively new to GTD, this is GOLD. Please consider getting this set as soon as you can.

For long term GTD-ers: YES, you will also find lots here for you too. Let’s face it–we get LAZY. Even if you know some of this stuff, this set will give you new ideas to implement to jazz up your system.

Barbara Bailey, Bailey Consulting Group, LLC (posted on 11/20/2010 to the GTD Connect discussion Forums)

We have also received requests that some of you would like a download version of this product. Thanks for letting us know! Our products team is looking into that as an option for 2011.

The tool won’t decide what something means—you have to do that, and the GTD process is the key.

If anyone is telling you a specific piece of software is required for GTD–good chance they don’t understand GTD.

We do have a few key tools that we personally use and recommend that have gone through David Allen’s extensive vetting process. You can find a link to those in our online store. If you don’t see your software listed here, it means we do not have a recommendation at this time, but a search on GTD Times and our public Forums should give you quite a few helpful suggestions about what other GTDers are using.

Studio Edrisa, an East African multimedia team who produces a weekly radio show called Planet Edirisa, interviewed David Allen about his work and bestselling book Getting Things Done. Here’s an excerpt of the interview:

Did your philosophy come together before you actually wrote the book “Getting Things Done”?
The book was really written after 20 to 25 years of developing and researching the model which was the core of my consulting and training business. I didn’t really know what I figured out concerning methodology and how unique it was for about 10 or 15 years. And finally, when I was able to test it in some of the best, busiest and smartest environments and people in the world, I found out that it really did work universally, and I was ready to put it down into a book form. I actually wrote it as a manual – in case I got run over by a bus I wanted to make sure the knowledge I discovered, uncovered and formulated would be available to everyone.
